Learn step-by-step how to create, modify or even remove Word tables in a document.

The time will come when you need to put text into little boxes that are organized into columns and rows. Yes, were talking about tables here. As everyone who has ever worked on one knows, tables are a bit-of-the-unknown if you don't know how they work.

Getting all the columns to fit, making columns and rows the right width and height, and editing text in a table is not easy. So problematic are tables that Word has devoted an entire menu to constructing them: the Tables menu.

Fortunately for you, the commands on this menu makes formatting and working with tables easy.

This page explains how to create Word tables, enter text into tables, change the number and size of columns and rows, sort and format tables.

Moving Columns And Rows

Because there is no elegant way to move a column or row, you should move only one at a time. If you try to move several columns or rows at once, you open a can of worms that is best left unopened.

To move a column or a row, follow these steps:

1. Select the column or row you want to move.

2. Right-click in the selection and choose CUT from the shortcut menu.  The column or row disappears to the Clipboard.

3. Position the cursor at the new location of the row or column:

For a Column, do the following:
Click in the topmost cell in the column to the right of where you want to move the column.  In other words, to make what is now column 4 column 2, cut column 4 and click in the topmost cell of column 2.

For a Row, do the following:
Move the cursor into the first column of the row below which you want to move your row. In other words, if your placing the row between what is now rows 6 and 7, put the cursor in row 7.

4. Right-click at the cursor position and choose Paste Column or Paste Rows from the shortcut menu.

Resizing Columns And Rows

The fastest way to adjust the width of columns and the height of rows is to eyeball it.

To resize a Column with the mouse pointer, follow these steps:

1. To make a column wider or narrower, move the mouse-pointer onto a gridline or border.

2. When the mouse pointer changes into a double-headed arrow, click-and-drag.

3. Tug-and-pull, tug-and-pull until the column is the right width or the row is the right height.

4. You can also slide the column bars on the horizontal ruler or the row bars on the vertical ruler (if you're in Print Layout view) to change the width of columns and height of rows.

Because resizing columns and rows can be problematic, Word offers more specific commands in adjusting the column width or row height of Word tables.

To specify a specific column width or row height, follow these steps:

1. Select the column or row to adjust.

2. Select Table ► AutoFit. From the shortcut menu given, choose between the following options:

  AUTOFIT TO CONTENTS
Makes each column wide enough to accommodate its widest entry.

AUTOFIT TO WINDOW
Stretches the table so that it fits across the page between the left and right margin.

FIXED COLUMN WIDTH
Fixes the column widths at their current settings.

DISTRIBUTE ROWS EVENLY
Makes all rows the same height as the tallest row.

DISTRIBUTE COLUMNS EVENLY
Makes all columns the same width.

Word Office Helper You can also click the Distribute Rows Evenly button on the Tables and Borders toolbar. Select the rows before giving this command to make the command affect only the rows you selected.
